How long do you want the inspection to take?

Each item/question typically takes about a minute to answer, classify and, if necessary, capture an image. So 20 items/questions will take your inspector/employee about 20 – 25 minutes to complete and sync back to the cloud.

Keep your classification list very simple.

Any more than 3 to 5 classification items and your inspector will start selecting his favorite three – it’s just the way humans work – we want to accomplish tasks as quickly as possible. A classification allows you to rank each response with a level of importance (think: Compliant, Minor Non-Compliance; Major Non-Compliance) so being concise with your list is very important.

Keep your category list very simple.

Attempt to keep the total number of items in each category to under 10 items/questions. This allows for an easy breakdown of all questions and does not appear as overwhelming to each inspector.

Categories can be color coordinated – don’t go crazy!

Each category has its own color for help in breaking down the inspection for easier viewing on the mobile and on the final detailed Inspection Report. Try to follow a predefined color palette or color selection so the colors do not clash.

Consider linking your range Items to a preselected classification for faster inspections.

That’s right! A range item can be linked to automatically select a classification. This will speed up the end-users time in completing an inspection that has a lot of drop downs. For instance, if you have a Yes/No drop down where for an item, and a classification of “Compliant, Non-Compliant and Major Non-Compliance”, consider the “No” range item to automatically pre-select the “Non-Compliant” classification. Of course, each scenario is unique so give it some thought and do what you think is best.

Score your classifications.

Even if you do not currently have your locations ranked by overall score, each classification can track a score relative to each checklist item. This allows a total to be tallied by location and can be very useful in viewing which of your locations need the most help.

Only force images when absolutely necessary.

Having an inspection template with each item on a lengthy checklist requiring an image may sound like a good idea; it’s not. Your inspectors, on average, will complain and start taking shoddy pictures just to “get it overwith”.

What is an item set?

An item set is a group of questions needed when your inspector will be faced with multiple objects where they don’t know how many objects there will be prior to arrival. Think to yourself, there are three questions for all pets in a house: type of pet; pet age and pet name. Your inspector will not know how many pets there are prior to arriving at the location. These three questions make sense to contain in a set.

Don’t alter the templates.

Once inspections have been started on a given template, do not alter that template. This will cause historical comparisons to fail. If a template must change, start a new one and deactivate the old one.

Remember your purpose.

Templates have a way of getting away from you when you try to do too much. Keep your template simple, concise and only as long as absolutely necessary. Trust us, your inspectors will be grateful.
